Inbound lead triage: from 6–9 hours to under 4 minutes

The problem

A B2B SaaS company had a sales team of eight people manually triaging inbound leads — reading every submission, categorizing intent, and routing to the right rep. Response times averaged six to nine hours.

What we found

The routing criteria were buried in a Notion doc that half the team had never read. The intent signals were obvious once written down: company size, role, and two or three keywords in the message determined 80% of routes.

What we built

An AI workflow that classifies inbound leads in real time, scores them, and routes them directly to the right rep with a pre-drafted first response. Edge cases escalate to a shared queue.

Result: response time dropped from 6–9 hours to under 4 minutes on average. The sales team stopped doing triage and started doing sales.

This is how we work: we go in, learn how the business really runs, find what AI can fix, and build it.
